Legal Intake Specialist

The National Council of Canadian Muslims (NCCM) is a non-partisan non-profit dedicated to protecting Canadian Muslims’ civil liberties and human rights. Through advocacy, education, and community engagement, we work to create an inclusive Canada, free from Islamophobia and discrimination.  

Our Intake Department serves as a critical entry point for individuals and communities seeking assistance, support, and advocacy. We are looking for a skilled, compassionate Legal Intake Specialist to join our team, bringing expertise in legal intake, empathy for client needs, and bilingual proficiency in both French and English. 

Position Summary: 
The Legal Intake Specialist will serve as the first point of contact within the Intake Department, responsible for managing client interactions, assessing cases, liaising with management, and directing clients to the appropriate resources. The ideal candidate will have a legal background, demonstrated interviewing skills, critical thinking skills, and a commitment to supporting clients from diverse backgrounds.

Reports to: VP of Legal Affairs

Key Responsibilities: 

Client Intake and Assessment 

  • Provide a welcoming, supportive experience as the initial contact for clients seeking assistance. 
  • Conduct thorough intake interviews to assess client needs, determine eligibility for NCCM services, and gather comprehensive case details. 
  • Document all client interactions with accuracy and confidentiality, ensuring compliance with NCCM policies.

Client Communication and Liaison 

  • Act as a liaison between NCCM and clients, answering inquiries, providing updates, and clearly explaining next steps in the process. 
  • Demonstrate high-level listening and interviewing skills to obtain detailed client information and build client profiles for internal use. 
  • Foster a professional and empathetic environment in all interactions to ensure clients feel supported. 

Administrative and Legal Support 

  • Prepare and organize legal documents, correspondence, forms, and reports related to intake cases. 
  • Conduct basic legal research to assist with case evaluation and ensure clients are informed about relevant resources. 
  • Maintain and update accurate client records and assist in Intake Department reporting and data collection. 

Qualifications and Skills: 

Education and Experience 

  • Diploma or degree in law clerking, paralegal studies, or a related legal field  

OR  

  • Experience in legal, social services, or intake-related role. 

Core Skills 

  • Bilingual Proficiency in French and English (Required): Ability to communicate fluently and professionally in both languages. Other languages are assets.  
  • Customer Service Expertise: Ability to create a welcoming atmosphere for prospective clients. 
  • Listening and Interviewing Skills: Proficiency in active listening and strategic questioning to fully understand client needs. 
  • Communication Skills: Strong written and verbal skills for client interactions, explanations of next steps, and preparing case profiles. 
  • Basic Legal Knowledge: Understanding of various legal specialties to assess NCCM’s suitability and make referrals when needed. 
  • Organizational and Multitasking Skills: Excellent attention to detail and ability to manage multiple inquiries. 
  • Technical Proficiency: Experience with word processing, spreadsheets, email, and database software.
